A simple food checklist for a difficult week

Give one person the food coordination role

Choose a family member, friend or venue contact who can share the date, venue address, likely guest range and requested meal time. A range is useful when attendance is uncertain. Explain whether the reception follows a service, receives guests over several hours or is a smaller family meal. If the date is close, contact SmashMeals directly to ask what can be arranged; availability still needs confirmation.

Ask the venue what is already provided

Check tables, serving space, refrigeration, reheating equipment, drinks, utensils and waste collection before ordering duplicates. Identify an entrance for the food handoff and a contact who can receive it without interrupting the service. Delivery, setup, staffing and cleanup should be confirmed in the written quote rather than assumed from a general catering description.

Keep the menu straightforward and the details written down

Share the foods the family would welcome and any ingredient or allergen requirements. Review the exact proposed menu and quantities, including who will manage leftovers under the supplied food-handling directions. Keep the total, timing, responsibilities and change arrangements with the coordinator. Sending an inquiry starts a conversation; the family should receive a confirmed plan before relying on the food for the reception.
